Lead Flow SOP: Proposal → Accepted → Job → Tasks

Purpose

Document the end-to-end process a Sales Rep follows from creating a proposal through converting it into a job, completing required task details, and handing the job off to Christa for execution.


Roles

  • Sales Rep: Creates and sends proposals, marks proposals accepted, completes initial job/task details, and assigns the job to Christa.

  • Christa: Takes ownership of the job after assignment and manages it from that point forward.


When This Process Starts

The process begins as soon as the Sales Rep creates a proposal.


Step-by-Step Process

1) Create the Proposal (Start of Process)

As a Sales Rep, create a new proposal and enter the required proposal details.

Proposal Details to Complete

Ensure the following fields are filled out:

  • Proposal name

  • Proposal description

  • Proposal price

  • Type of proposal

  • Amount of the proposal

  • Prospect assigned to the proposal

Proposal Status

  • Most of the time, set the proposal status to Sent (because the intention is that it’s already been sent when it’s entered).

  • If needed, you can set it to Draft.


2) Mark Proposal as Accepted (Triggers Job Creation)

Once the proposal is accepted by the customer:

  1. Update the proposal status to Accepted.

What “Accepted” Means

  • The customer has agreed to the proposal.

  • We are ready to move forward.

  • The proposal is converted into a Job.


3) Follow the Pop-Up Prompt (Go to Tasks)

When you mark the proposal as Accepted, a pop-up window appears prompting you to proceed.

Action: Use the pop-up option to go to the tasks related to the new job.

Why: Once accepted, the job is created and a task list is associated with that job.


4) Complete the Task List (Add Job Details)

In the Task List, update all ancillary/supporting details needed for the job.

Goal: Fully complete the task list information so the job is properly set up for execution.


5) Open the Job From the Task List Header

After the task list is complete:

  1. Click over to the Job using the link/navigation in the header of the task list.


6) Assign the Job to Christa (Handoff)

From the Job view:

  1. Assign the job to Christa.

Once assigned, Christa takes over the job from that point on.


Quick Checklist (Sales Rep)

  • Create proposal

  • Fill in all proposal fields (name, description, price, type, amount, prospect)

  • Set status to Sent (or Draft if not ready)

  • When customer accepts, mark proposal Accepted

  • Use pop-up to go to Job Tasks

  • Complete all task list details

  • Open the Job from task list header

  • Assign job to Christa
